Scheduler - Contract Support
Newcastle
Salary £23k
We are looking for a Scheduler - Contract Support to join a maintenance team with an estates in Newcaslte city centre. You will report directly in to the Maintenance Manager.
The Role
- Identify and drive all activities included in the contract which go through the helpdesk
- Undertake site inductions for all 1 st time visitors and follow up for ??
- Compiling of the EW application with CS Team
- To regularly inspect vendors to ensure VFM for the company and client
- Compiling of the Customer Monthly Management Report with CS Team
- Liaising with the client regarding EW/project issues
- Continually develop systems to maximize efficiency benefits for the customer and the company.
- Update labour allocations to ensure accurate client reporting
- Understand the Policy and procedure for EW/Projects
- Support the preparation and delivery of monthly Contract Reviews.
- Raising Purchase Orders
- Reviewing open Purchase Orders
- Assisting with resolving any queries on EW/Projects including PO's, EW's etc.
- Reporting on In Scope and Out of Scope works
- Ad-hoc reporting as requested by Contract Manager, Maintenance Manager and Contract Support Manager.
- Co-ordination of sub-contractor files
- Reporting and management of work management system
- Subcontractor reviews
- eLog books compliance
- Constantly measuring productivity rates per engineer, benchmarked with labour load
- Providing reports on productivity to Maintenance manager in excel format
- Timesheets collation for approval and uploading with CS Team
- Keep a track of training matrix with CS Team
- Updating of the team attendance planner with CS Team
- Arranging agency cover and submitting hours on portal
- Culture carrier and promotes best practice
- Obtaining supplier quotes and uploading onto the internal system for client approval
- Maintaining the stationery supply
- Updating Portals as and when required
- Constantly improve quality, service and efficiency.
- Helpdesk: including but not limited to; logging, distributing and closing of reactive calls on desired system.
- Including but not limited to processing of PPM's to site staff and contractors - (support during AL/Absence etc.)
- Ensure all EW/Projects items have timings, job sheets, quotations, PO's Invoices where req'd
Qualifications
- GCSE Maths and English or equivalent
- Highly computer literate
- IT Skills to achieve key tasks and give the business a sound reporting base.
- Superior written and verbal communication skills with strong oral presentation skills.
- Capable of working in a matrix environment.
- Knows CAFM
- Previous experience of a service industry role using operating systems such as Dynamics AX.
- Previous experience of Concept Evolution would be an advantage
- Previous employment as Scheduler/tech admin would be advantageous
